Configuring Your Gmail With Vuente and Odoo

In these screen steps we expect with a reasonable amount of technical skill you can in fact set up your own email quite easily. If you would like assitance please enquire here

1. Select the About word found in the top right of your screen under your log in name

2. Activate the developer mode. Warning, this is becoming a technical area and we request you be careful in your steps

3. Go To Your Settings Menu and You should now be able to find your Email and Options

4. Go To either your in or outgoing servers as required. I am adding an incoming email address for this illustration

5. Select the Blue create Button. From here I followed these Google steps myself.

Set up Gmail with Outlook, Apple Mail, or other mail clients

You can download messages from Gmail and see them using a program like Microsoft Outlook, Apple Mail, or Thunderbird, even when you aren’t online. This process is called POP or IMAP, and is free for all Gmail users.

Tip: We recommend using IMAP if possible because it’s the best way to make sure you can see all your mail at any time on all of your devices. If you’d like to use POP instead, learn how to enable POP.

Use Gmail for automatic email responses

When you use an email client, like Outlook or Apple Mail, automatic email replies might not work as you expect.

It’s a good idea to use Gmail’s vacation responder, which you can set up in Gmail Settings, rather than one provided by the non-Gmail service. Learn more about automatic responses in Gmail.

Get startedI want to enable IMAP

You can retrieve your Gmail messages with a client or device that supports IMAP, like Microsoft Outlook or Apple Mail.

Enable IMAP in your Gmail settings

  1. Sign in to Gmail.
  2. Click the gear in the top right .
  3. Select Settings.
  4. Click Forwarding and POP/IMAP.
  5. Select Enable IMAP.
  6. Click Save Changes.

Note: This setting is not available while using the basic HTML view of Gmail. To enable IMAP, use the standard view instead. Find out more about standard view and basic HTML view.

Once you’ve enabled IMAP in your Gmail settings, you need to configure your client. Select a client below to see specific configuration instructions.Other

Google Apps users, please follow the default instructions unless otherwise noted, replacing ‘your_domain.com’ with your actual domain name.

Many clients will automatically configure the appropriate IMAP connection settings for your account, but confirm that the connection settings your client configures are the same as what’s listed below.

If you’re using a client that’s not listed above, you can also use the following information to configure your IMAP. If you have problems, contact your mail client’s customer support department for further instructions.

Password: your Gmail password

If your client does not support SMTP authentication, you won’t be able to send mail through your client using your Gmail address.

Also, if you’re having trouble sending mail but you’ve confirmed that encryption is active for SMTP in your mail client, try to configure your SMTP server on a different port: 465 or 587.

Username and password not working? Some apps require you to also turn on access for less secure apps before setting up POP/IMAP connections.

Sharing with WordPress

This article will show you how to connect Clarify to your WordPress blog as well as how to upload a document.

Configuring

Open Clarify Preferences

Add a WordPress sharing account

From the

1.Share tab click the

2. + button and

3. select WordPress.

Enter your blog URL

Enter the URL to your blog and click Configure.

Enter your blog login credentials

  1. Enter your username and password.
  2. Clarify ships with one WordPress HTML template that is used when formatting your Clarify document for upload to WordPress. The template does not apply any sort of styling to the content that is uploaded. If you would like to create a custom HTML template that can be used when uploading to WordPress then please refer to the HTML templates manual.
  3. Test the connection to make sure you have entered your information correctly.

Uploading to WordPress

Now that you have configured your WordPress sharing account you will see a WordPress icon in the sharing toolbar. Click on it to upload your document to WordPress.

You will see this dialog when you upload the document. You can choose the blog, post type, status, and category (if applicable to the selected post type). Any tags you have assigned to the article will be assigned to the post you create in WordPress as well.

Clarify will list all of the available post types in your blog. The default choices allow you to create a Post or a Page. If you have any custom post types they will show up in the menu as well.

After you make your selections click the Upload button. When the upload is complete the URL to the WordPress page will be on the clipboard.

A note about updating images

The next time you upload the Clarify document to WordPress Clarify will replace the existing post. When updating an existing WordPress post Clarify tries to optimize the update process by not uploading images which have already been uploaded. If a step image has been uploaded before then it will not be uploaded again if:

  1. The image still exists in WordPress and
  2. The image content has not changed.

A couple of things to keep in mind. You should not modify any images that Clarify uploaded within WordPress itself if you plan on using Clarify to update the post later on. If you use a 3rd party WordPress plugin to replace an image in WordPress, Clarify won’t know that you did and will not upload the latest image from the Clarify document. In addition, if you use WordPress to edit the image Clarify will not know that you made changes to it.

How To Change the Menu Layout in Odoo

Provided you actually have the administration rights you can customize your version of the menu layout quite easily, potentially reorder or re sequence to suit your business model, change or critique the wording to your individual style or countries way of spelling possibly, it’s all relatively simple if you follow this step by step procedure below. With TAG’s standized Odoo Instance we have a slightly different words and configuration to begin with. As i step through this procedure I’ll do my best to maintain standard Odoo wording and TAG’s Wording, hope you don’t end confused here…

1. In the Admin area you can find the menu item simply called Menu Items

  1. In Odoo’s Standard instance you can find it under Settings/User Interface/Menu Items
  2. Select Menu Items
  3. Search for the existing Menu word that you want to find

2. We’re focused here on changeing the wording in general so I have intentially searched for a generic word

  1. Configuration is a menu item quite widely used so we aust remain focused on finding the true menu item we want to change
  2. However I’m going to focus on changing the menu order and name in the Projects area for this TAG Odoo training

3. Now that we need to enter the edit mode

4. When in this screen you can quite easily do a re order or re sequence of the menu

  • Simply selct the line item you want with your mouse
  • Then drag it to the location you desire

5. Now to change a line item in the menu.

  1. Select the line to edit or change
  2. Edit your words, I’ve chosen to simply add Menu Training for this excercise
  3. Now “Save” your changes

6. Always remember that Odoo is woring in a very structured way.

Therefore we continue to “Save” at each screen we are closing to ensure our changes remain “Linked”

7. Don’t forget to refresh your Internet Browser!

Once you have refreshed your browser you can now see the changes you made and well done!




Adding and Removing Industry Fields in Selection Menus

1. Following the menu structure we pursue your Industry fields set up

  1. Sales Menu on Top Menu Bar
  2. Configuration on Left Side Bar Menu
  3. Select Industries

2. To Remove Entries

  1. Tick the relevant lines you would like to delete
  2. Select “More” in the center of screen
  3. Select “Delete”
  4. Confirm Delete request



How to change Google Docs folder if you have two accounts

1. The Google Docs icon on the bottom right of your screen needs to be selected

Once that icon opens you can see 3 dots on the top right of that pop up

Now select that

2. Then you see Preferences in there

Select that

3. Now you have another pop up screen

In here you to select the Account TAB

4. If you dont have a back up of your google docs it would be suggested to make one of all you files before the next step.

You may be using multiple computers in which case your back up is still on the cloud server. (Double check if your not sure)

5. If you do need to do a back up then copying your comple google docs to anther drive would be the simplest method.

Options might be;

  1. Copy the existing Google docs folder to another C Drive My Docs folder. This way you have a back up in the event of some form of mishap.
  2. You may do the same as above yet to D Drive
  3. Or possibly a USB stick or external hard drive

6. Once you’ve disconnected then you will be able to sign in again using the other Google docs account you have




Australian Accounting Module In Odoo Version 7 and 8

TAG has in the past worked with developers to implement and enhance Odoo, this document is intended to illustrate ….

1. In OpenERP Version 7 we worked with a company in India called Emipro Technologies.

Many OpenERP Odoo modules or customization work was undertaken yet this is most specifically working on the Australian Accounts work that we completed in version 7 being centralized and enhanced for Odoo Version 8.

  1. I returned this result by filtering on ept which Emipro signed the modules with.
  2. Whilst TAG paid for this I feel Emipro Technologies double dipped on the Intellectual Property and went on to offer the Odoo community a number of the modules we created together under their personal name.

2. This system was set up as a subdomain or under a seperate ip port number

I mention this as when we search in the back end via ftp or putty it may hold some relevance.

 

3. We had to add ABN and ACN Numbers to Our Company

4. We also need to have it in our Partner form so we capture both Suppliers and Customer numbers

5. Two new menu areas are created, this needs to be verified from module design and not having been done as a settings customization

6. When creating an Invoice or a Purchase TAG standardized a pop up screen.

This was done as origional Odoo system only edited as a line item and this made it extremally difficult to edit and read all relevant content. It was a near impossibility.

My suspicion is that the pop up is not coded in to the standard module yet I feel it should be

The way we utilize time is most likely the single biggest elements of management success that we could understand, be it Time Management, Timelines, Time Utilization, what ever it is it all comes down to we only have a certain amount each and every day.

Recently I wrote and spoke around the concept of a B.H.A.G (Big Hairy Audacious Goal), if your goal doesn’t scare you then maybe it’s just not big enough they say!

I pride myself on the way my times utilized yet with any fast paced business growth there’s problems.

As part of my personal and business B.H.A.G I wanted TAG to be the provider of outstanding customer service, not just another ho hum provider, someone that like many of my business buddies and colleagues, I feel we’re all going as hard as possible!

So I’m a techie, deep analytical manager, joining the business dots of information out there in the either, yet being a software developer at the same time focused on providing an outstanding customer experience has certainly laid it’s challenges out.

Three Sunday After Hours For Nothing!

TAG is all about supporting and building a Small Business Community, because there’s strength in numbers and realistically there’s the trust element. Developers aren’t developers, and I certainly learnt that whilst working on 5 different TAG Customer Management Systems I tripped and stumbled like never before, only to be shown in about 10 minutes from the next generation hot shot!

Geez that #$%^& me at times!

As we begin to open up the training element of the TAG Odoo System my time get’s massively juggled between answering one on one questions versus solidifying, systemizing and structuring a simplified and automated process.

Standardizing Systems Procedures and Information Flow

Building a sustainable small business isn’t always as easy as one might consider as we depart the traditional JOB, today we want to discuss standardization of the TAG management system and introduce the model of business process flow charts which we’ve chosen to use Lucidcharts online.

With so many elements associated to building a sustainable and scalable long term venture one often moves to issue resolution or a different management style as personal pressure increases.

I used the S.W.O.T analysis as a way of communicating or understanding how adopting standards can allow us all in the TAG Small Business Community to in effect do more with less.

As part of the TAG (The Automated Genius) business management system we looked at the concept of a sales funnel moving through to a call center model and how the system could actually handle the process of setting up high level experts then filtering down the knowledge through a structured method and finally allowing us to utilize a younger positive attitude person, through our standard methods we have in effect empowered the next generation so we can improve their skills.

Creating a powerful management team

We all know I rabbit on a bit when it comes to Techy versus Sales, yet in any successful business we understand it takes all types of people let’s consider the S.W.O.T analysis (Strengths, Weaknesses, Opportunities & Threats) as a management tool, I also like the 80/20 rule.

Strengths, if we could create a Small Business Community based around our individual Strengths, all tied together through a virtual hub, platform or management system would allow all of us to be mobile or remote based.

Starting with a customized and personalized version of TAG, The Automated Genius, as a management system, we can adopt standardized trainings and or create a scalable and replicable business model, in effect we can take your business to a global audience. The choice really does become yours.

In this video I’m illustrating how I can see one Small Business Community (The Business Market Place) having the ability to combine it’s community members core strengths into a consistent management hub, teaming up to support each other and to expand their community globally.

Time, Team & Money, If we took ego out of the equation and looked at in effect any fast growth business, you’d find these three core elements, you may not notice it directly, yet rest assure, it will be underpinned by these three elements being in place. There all adding strength to the opportunity

Weakness, so if we focused on our strengths and collectively worked to alleviate as much weakness as possible then the returns could be nothing short of amazing, I know this to be true after being a key driver in a turn around which was losing at a rate of 750 thousand dollars in three months to amazing high profits and a revenue increase of some 17 million dollars over a 5 year period! It all starts with a solid and committed team though.

Opportunities, needless to say there’s opportunities every where in this day and age, yet never before have we had such a tool like the internet to support the massive leverage of our knowledge.

Let’s think about it for a moment shall we?

So you’re an amazing individual, a genius in your own mind, your styles unique and your personalities unique, so what really makes you stand out above the crowd, MARKETING or POSITIONING.

Time = Money, Money = Time, we’re either charging for it or paying for it and time is a once of resource, so thanks for spending this time with me:), yet we only have a limited amount of time to truely enjoy life outside of work, it’s what I refer to as a work life balance

Back to the Small Business Community, so we have a system, we have high quality sales converting community members, we have technically capable people like never before, so why can’t we connect the dots and create an amazing small business solution? Think of the opportunity? Think BIG, Think Global, Think of the Future.

Threats, it’s reasonable for me to say that there’s always a risk in any business venture we take on, as a small business owner and serial entrepreneur, I’ve sure as heck seen the risk and the price tags, money relationships on both the good and the bad side, so I also understand that having the right people around us as part of that strong community or team is paramount, we need to minimize the threats to increase the opportunities around us.

The 80/20 principle, So if we considered our offer had an 80% success factor, the 20% would be filled with failure or potential issues, failure isn’t a word i choose to use so, let’s focus on potential issues, as part of our small business community we also have some very diligent people, investors, procedural, legal, we have pretty much everyone needed to make a massively successful Small Business Community or Small Business Team. It’s about the quality of the questions and the quality of the answers relative to TRUST & CERTAINTY.

How to remove unwanted States and Countries In Odoo

Removing unwanted data from you Odoo Business management system is obviously going to make the user experience less confusing or complicated. In this video lesson back to the Team at Tag I’m signed in as the Administrator with View Technical Settings ticked in the Admin user profile.

So…signed in as an administrator with technical settings selected you will need to follow this path effectively to find the non required data. Sales/Configuration/Address Book/Localization/Fed States and then search for Australian and save any that are in place currently.

Setting up your TAG Odoo Business Management System on Rackspace

We decided long ago after consulting with our odoo development partner Emipro Technologies that we would use Rackspace as our preferred server and hosting supplier, whilst technically the requirements for the OpenERP or Odoo system required an Ubuntu Server for optimum performance, this isn’t a server as common as your everyday website is hosted on though.

Being an Australian based company, in the future we needed to be hosting in Australia also, more specifically around financial management, unfortunately the US market could have reduced our server expense each month, yet this was the best solution for both budget and performance.

They offer a 99.9% uptime and 24/7 server support, that’s more beneficial to us as your technical partner, or yourself into the future should you choose to part ways with us!

Without getting too technical, you may wish to discuss these bullet points with an external techy person you already know and trust?

  • We are going to be hosting the CRM Business Management System on a Rackspace Cloud Server
  • They Offer a 24/7 Tech Support
  • Their a publicly listed company
  • We best performance we will be using an Ubuntu Server
  • The Server will be hosted locally (Australian companies in Australia, American in America, etc)
    • This is too comply with local regulations

This Step 1 video gives as close as possible an overview of the signup process, whilst respecting our clients information and due diligence on my behalf.

We did end up waiting for client feedback and had to put the implementation on a slow down phase until a critical question was answered though.

Our Sign Up Procedure was;

  3. After you’ve selected the “Next Step” Button
    • One of the questions requests a phone number
    • My recommendation is that you put Anthony’s mobile number in there to begin, 614 389 848 this can be changed very easily later yet the technical questions may start to fly and we want this to be as seamless as possible for everyone involved.

How to remove the Sign up Registration in Odoo

Whilst the Odoo management system is huge in it’s capacity the reliance off ongoing training and support can be quite difficult.

Searching the planet for a 24 hour 7 day solution can be hard!

Here we illustrate how to remove the sign up registration on a new instalation

Odoo Stop Phoning Home

 

Update, whilst the following can be quite techy surprisingly enough by following this you can add the module directly from a new installation now.

You can set it up like this:

In Settings click “Update Modules List”.
Unselect the “Installed” text in the search box, replace with e.g. ‘home’.
Install the “Stop Phoning Home” module.

Signing into Odoo must of simply been an acknowledgement to Odoo, yet after signing in i was redirected back to the same page and was then able to simply add the module from the settings area.

Once the Instal was completed following these steps the top bar had been removed.
